Quick Actions

Create a New Class

  1. Go to Classes
  2. Click Add New Class
  3. Fill in: Name, Duration, Capacity, Price, Instructor
  4. Click Create

Schedule a Recurring Class

  1. Select your class
  2. Click Add SessionRecurring
  3. Choose pattern (Daily/Weekly/Monthly)
  4. Set start time and days
  5. Click Create

Book a Client

  1. Go to Bookings or select a session
  2. Click Book
  3. Enter client name and email
  4. Set payment status
  5. Click Confirm

Create a Package

  1. Go to Packages
  2. Click Create Package
  3. Enter: Name, Sessions, Validity (days), Price
  4. Click Create
  1. Go to Settings
  2. Scroll to Public Booking Link
  3. Click Copy Link
  4. Share everywhere!

Schedule Management

Change a Class Time (One Day Only)

  1. Click the session
  2. Click Edit
  3. Select This Occurrence Only
  4. Change the time
  5. System shows affected bookings
  6. Notify clients → Confirm

Change a Class Time (Permanently)

  1. Click any future session
  2. Click Edit
  3. Select This and Future
  4. Change the time
  5. Review affected bookings
  6. Notify clients → Confirm

Cancel a Single Class

  1. Click the session
  2. Click Cancel
  3. Select This Occurrence Only
  4. Choose notification action
  5. Confirm

Substitute Instructor

  1. Edit the session
  2. Select This Occurrence Only
  3. Change instructor name
  4. Notify booked clients
  5. Confirm

Client Management

Add a New Client

  1. MembersAdd Member
  2. Enter: Name, Email (required), Phone
  3. Create

Sell a Package to a Client

  1. Find client in Members
  2. Click their name
  3. Purchase Package
  4. Select package → Set date
  5. Purchase

View Client History

  1. Members → Click client name
  2. See: Total visits, Last visit, Active packages
  3. View booking history below

Contact a Client

  1. Find client in Members
  2. Click WhatsApp icon next to phone
  3. Message opens automatically

Booking Management

Mark a Booking as Paid

  1. Find booking in Bookings
  2. Click Edit
  3. Change payment status to Paid
  4. Save

Cancel a Booking

  1. Find booking
  2. Click Cancel
  3. Update payment status if refund
  4. Spot freed automatically

Check-In with QR Code

  1. BookingsScan QR Code
  2. Point camera at client's QR
  3. Booking opens automatically
  4. Mark as paid if needed

Common Tasks

See Today's Schedule

  1. Go to Dashboard
  2. View "Upcoming Classes Today"
  3. Or Bookings → Select today's date

Filter Bookings

  1. Bookings page
  2. Use filters: Class, Status, Payment, Date
  3. Results update automatically

Check Capacity

View any session to see "X/10 spots available"

Increase Class Capacity

  1. Edit class or session
  2. Change capacity number
  3. Safe to do anytime (increase only)

Change Class Price (Future Only)

  1. Edit any future session
  2. Select This and Future
  3. Change price
  4. Existing bookings keep old price

Package Management

Check Package Status

  • Active: Green - can be used
  • Expired: Red - past validity date
  • Exhausted: Yellow - all sessions used
  • Cancelled: Gray - refunded

Extend Expired Package

  1. Find client package
  2. Edit purchase date (set to today)
  3. Package becomes active again
  4. Validity extends from new date

Track Package Usage

  1. Members → Client → View packages
  2. See: Sessions used / Total sessions
  3. Expiry date shown

Settings & Setup

Update Studio Info

  1. Settings
  2. Edit: Name, Address, Phone, Description
  3. Save Changes
  1. Settings → Logo section
  2. Upload JPG/PNG (max 2MB)
  3. Shows on public booking page

Change Opening Hours

  1. Settings
  2. Update hours text
  3. Save

Troubleshooting

Can't Delete a Class

Reason: Has scheduled sessions Solution: Cancel all sessions first, then delete

Booking Shows Wrong Payment Status

Solution: Edit booking → Change payment status → Save

Public Booking Page Not Showing Classes

Check:

  1. Sessions are scheduled in the future
  2. Studio profile is complete
  3. Classes have capacity available

Client Not Receiving QR Code

Solution:

  1. Check email in booking is correct
  2. Send QR manually via WhatsApp
  3. Client can see QR in confirmation screen

Can't Reduce Capacity

Reason: More bookings than new capacity Solution: Cancel excess bookings first, then reduce

Daily Routine (5 minutes):

  1. Check today's classes (Dashboard)
  2. Review new bookings
  3. Send reminders to clients

Weekly Tasks:

  • Review upcoming week schedule
  • Follow up unpaid bookings
  • Contact inactive members

Monthly:

  • Check expiring packages → Send renewals
  • Review popular classes
  • Plan next month's schedule

Before Each Class:

  • Review booking list
  • Prepare space
  • Have QR scanner ready

After Each Class:

  • Mark attendance
  • Update payments
  • Note any issues
